About Kent LMC
Kent LMC (Local Medical Committee) is an official representative body for general practitioners (GPs) in Kent, England. It acts as the democratic voice for GPs, advocating for their interests and providing support on various professional matters.
Membership and Event Management WordPress Project
Kent LMC needed a full refresh of their membership management, event planning, and internal operations.
Their setup had to reflect the complexity of practice management while still being intuitive for users and contacts. To reach this goal we integrated CiviCRM with WordPress to ensure the website and CRM system worked seamlessly together.
Here’s how we brought it all together.
Access & Membership
Similar to our work for Somerset LMC, we created restricted areas on the site available to contacts based on their membership level. The registration process is built with three types of membership:
- Practice members who get instant approval and access.
- Locums and non-members who require admin approval before gaining access
- Individual membership for people looking for work, with access controlled by their membership level.
The membership dashboard was designed to deliver four different views depending on the members’ level and offer users the option to edit their own profiles, though editing access is limited to certain fields.
Migration & Setup
We made sure to migrate all key data from the old system. Every user account, job role, individual user details, company or practice information have been migrated successfully from the old to the new system.
The goal was to make the transition as smooth as possible, not losing or misplacing anything in the process.
Practice Management – Unique to Kent LMC
This section lets users manage multiple practices from a single profile. This feature is ideal for people working part-time across different practices, making it easy for them to handle everything in one place, using one login.
There is no limit on the number of practices managed per user.
Events & Training
The events calendar is packed with features that make things easier for users and admins.
To facilitate efficiency, admins can use pre-built event templates, sign-up forms and sign-in sheets.
Registrations are simpler, with Stripe for payments and Google Maps for locations, and with CiviCRM tags, events can be shown only to specific groups.
Attendance certificates are generated automatically once the event has ended and the user is marked as attended.
After events, admins can also set up feedback surveys to be sent to attendees.
Jobs Board
The jobs board allows managers post roles for their surgeries, with full control over their listings.
For a smoother and safer experience, every job posting has to go through admin approval before it goes live.
Communication & CRM
Kent LMC’s communication system uses CiviCRM integrated with Mailtrap to handle and send all emails and newsletter. For targeted messaging and easier ongoing campaigns, newsletter templates and distribution lists were created directly from CiviCRM. Every email interaction is logged in each member’s profile for a clear record.
Guidance & Resources
We worked on making sure all the guidance content from the old system was migrated and rebuilt into a searchable library with useful filtering options to help users and contacts easily find what they are looking for.
We have also built a bookmarks feature to help users save documents and easily return later, without wasting time searching again.
The Outcome
After close collaboration, we built a CiviCRM-integrated website that simplifies Kent LMC’s member and event management processes while reflecting its brand and identity.
